Frequently asked questions

What can I report through Hello Canopy?

You can raise workplace concerns, whether it’s something you experienced, witnessed, or were told about. That might include bullying, harassment, health and safety risks, wellbeing issues, or broader culture challenges. If it matters to you, it’s worth sharing.

You’re always in control. Choose to report anonymously or include your name.

How does reporting work?

You can start a report whenever you're ready. Share what happened in your own words, and if helpful, upload attachments like screenshots, documents or videos. You’re in control the whole way. Save a draft, come back later, and review everything before you submit.

Once submitted, you can continue the conversation with HR through secure, encrypted messaging. If you report anonymously, you’ll remain anonymous in the chat. You can choose to share your name later if that feels right for you.

How do I access Hello Canopy?

Employees and other approved users log in using their work email. We use Kinde for authentication, so only verified people within your organisation can access the platform. You’ll then set your own secure password.

The platform is available any time, on any device, so you can log in whenever it works for you.

Will my name or identity be shared with HR or my manager?

Your name will only be shared with HR and case managers if you choose to share it. If you report anonymously, your name and other identifying details won’t be shared.

Your report will only be visible to approved case managers within your organisation and they won’t see your identity unless you choose to include it. Your manager won't see your report in Hello Canopy unless they're an approved admin or case manager.

Just a reminder: if you want to remain anonymous, avoid adding any identifying details in the content of your report, such as the description and attachments.

How does Hello Canopy protect anonymity?

When you choose to report anonymously, your identity is protected. Your name, email, and identifying information are never shared with your organisation. They won’t have access to anything that could link it back to you like your IP address, location, device info, or login details.

But if you decide to share your name later, that’s entirely up to you. You’re always in control.

How does Hello Canopy support case management?

HR teams can manage every step of a case in one secure, structured space. Assign a case manager, add notes and documents, and track all interactions from start to resolution.

Follow up through encrypted, two-way messaging to gather context, ask questions, and answer any questions or concerns the reporter has.

Status updates and notifications are automated to save time and keep employees informed, even if they reported anonymously.

Every action is logged and time-stamped, so you're always audit-ready without the manual admin.

Can HR reply to anonymous reports?

Yes. Hello Canopy supports two-way encrypted messaging, even when someone reports anonymously.

Who can see the reports and case data?

Only authorised case managers and admins within your organisation can access reports and case details in Hello Canopy.

How case information is shared beyond that depends on your organisation’s own policies and procedures. If you're unsure who may be informed or involved, it’s best to ask your HR or Work Health and Safety team directly.

Hello Canopy staff don’t have day-to-day access to your report content. In rare cases where access is needed, it’s only possible under strict access controls.

You’ll also have access to your own Reports dashboard, where you can view your submission, attachments, progress updates, and any ongoing messaging.

Where is the data stored, and how is it secured?

All data is securely stored on SOC 2–certified servers located in Australia.

Data is encrypted both at rest and in transit, with strict access controls in place to keep sensitive information safe at every step.

Does Hello Canopy integrate with HRIS platforms?

Yes, Hello Canopy currently integrates with a selection of popular HRIS platforms, and we’re expanding our integration options over time. Looking for a specific HRIS integration? Reach out and let us know.

You can use Hello Canopy whether you already have an HRIS in place or not.
